About this system

This website hosts our online registration system for West London Tamil School (WLTS), and is also being developed to support WLTS‑OFAAL examination registration. Once complete, the examination system will include:

• Automatic generation of a unique index number for each student
• Online fee payment
• Secure, individual download of examination hall tickets, protected by a one‑time password (OTP) sent to each student or parent
• Secure checking of examination results, also protected by OTP, so that only the right person can view their own result

These features are being built and released step by step. The system as a whole is still in active development, and some parts described above are not live yet.

If we ask you to check something online

Where we invite you to check a registration, hall ticket or result online, we are asking you to try a feature that is still being tested and improved — not presenting it as a finished, guaranteed system. This is a normal part of building it gradually and improving it from real use.

Because of this, please treat anything shown online during this stage as a helpful convenience, not the final word. The school office remains the official source for confirming any registration, hall ticket or result at any time, and you are always welcome to check with us directly.

If something displayed online does not look right, this is almost always the temporary hosting issue explained below — not a mistake in your actual record. West London Tamil School Administration is responsible for keeping parents clearly informed of what stage the system is at, and for reporting any issue straight to our developer so it can be looked into as quickly as possible. Our developer can only fix what he has been told about, so please let the school office know immediately if anything looks wrong, rather than assuming either way. We recognise this extra step is not ideal, and it is exactly what a dedicated server and a fully finished system will remove.

A note on where this is hosted

Ideally, a system handling registrations, hall tickets and examination results for two large programmes — WLTS and WLTS‑OFAAL — should run on its own dedicated server. Our developer has advised us of this, and we intend to move to dedicated hosting in the near future.

For now, because WLTS operates entirely as a registered charity, we are not yet in a position to purchase separate hosting immediately. As a temporary measure, this system runs on our existing school website's shared hosting.

What this can mean in practice

Running two major systems on shared hosting can occasionally cause server‑side issues that sit outside our developer's control, such as:

• Cached or outdated information appearing temporarily
• Slower loading at busy times
• Occasional downtime or delays

If you ever see information that looks incorrect — for example, details that do not look like your own, an outdated result, or a page that will not load properly — please be assured this is a hosting limitation, not a fault in how the system has been built.

What to do if something looks wrong

Please do not rely on anything displayed on screen if it looks incorrect. Instead, contact the school office directly and we will manually confirm the correct, verified information for you.

Our commitment

We are actively working with our developer towards moving this system to its own dedicated server, which will resolve these hosting‑related issues permanently. Until then, we appreciate your patience and understanding — as a charity, every improvement is made step by step, within the resources available to us.
